Upcoming changes to Exhibit Management using Case Center in August

Case Center is a web-based program that allows exhibits to be electronically transferred and viewed via a cloud.

The Case Center exhibit system is currently open to hearings set for trial, where there is an Order of Pre-Trial Conference entered by a judicial official that requires Case Center, or where a communication from the judge or bailiff indicates that Case Center exhibits are required in the case.

Request Access to Case Center

To submit a request for access to Case Center to upload electronic exhibits for trial, please email the Clerk's Office at the following email address:

dja-e-exhibits@kingcounty.gov

Emails need to include:

  1. Case number and caption
  2. Your Name
  3. Your role* in the case
  4. Party you are working with: Petitioner/Plantiff or Respondent/Defendant
  5. Type of Hearing: Trial, Summary Judgment, Family Law Hearing, Protection Order, etc. 

*Roles: 

Party: Petitioner/Plaintiff or Respondent/Defendant
Pro Se Litigant: 
Self represented party. (Person NOT represented by an Attorney)
Attorney:
 If you are an Attorney, which Party do you represent?
Paralegal: 
what Attorney and Party are you working with?
Other Roles: 
GAL, Casa, ATG etc.

 

Upon receipt of the email, the Clerk's Office will grant you access to your folder within 24 to 48 hours of receiving the request, at which point the Case Center application will send you a link. This link will allow you to access the Case Center Bundle created specifically for your case. At this point, files can be easily uploaded to your Bundle.

Once uploaded and received by the Court, all exhibits will be 'shared' and made available to all parties via Case Center.

Rules for Uploading Exhibits

The following instructions shall be followed when uploading exhibits. This is imperative to ensure proper exhibit identification and tracking throughout trial.

  • Case depositions cannot be electronically uploaded into Case Center. Per the Pre-Trial Order, any party anticipating publishing a deposition during trial must deliver the sealed original to the assigned judge’s mailroom no later than five (5) judicial days before the scheduled trial date.
  • Electronic exhibits shall be uploaded to the folder individually - one file per exhibit. Exhibits may have multiple pages.
  • Exhibits shall be uploaded with individual numbers and should be named as closely as possible to the titles listed in the Joint Statement of Evidence.
  • Do not check the box for "Restricted". All exhibits must have this box unchecked to be viewable.

Exhibit Naming Convention Rules

  • Please keep title between 60-80 characters, avoid telling a story with your exhibit title - keep it simple, neutral, and to the point.
  • The exhibit title must be neutral and cannot contain words that can be considered biased.

Accepted Title Examples:

  • Email dated 4-11-18 
  • Patient Memorandum dated 6-9-10
  • Accident Scene Photo 1
  • Accident Scene Photo 2

Title Examples that are NOT Acceptable: 

  • Photo Showing Negligence
  • Photo of where I stopped prior to the accident, and you can see that the light is red.

Frequently Asked Questions about Electronic Exhibits

While the Digital Exhibit Specialists provide assistance to customers that are struggling with technical issues related to Case Center, they do not upload exhibits on behalf of the customers except in extreme circumstances.

Upload and download times can be in excess of an hour depending on the file size you are attempting to upload and the number of files. Just keep your browser open and allow the upload to finish.

Generally speaking, files can be deleted, altered, and exchanged up to the moment of trial. However, after trial has commenced all changes to files in the folder will first need to be run by the court and, once approved, must be handled by the clerk covering that trial.

You will be able to view and download all files uploaded into the folder for your case by any party.
Exhibits submitted in a case can only be sealed by court order; affixing a ‘sealed’ cover page or placing ‘sealed’ in the title of a file does not seal it.
You will need to make a motion with the court to obtain sealed status for your exhibits. To protect sensitive information, we recommend redacting exhibits before uploading them.

Frequently Asked Questions about Electronic Exhibits in Juvenile Cases

You may make your request as soon as you have a case number.

When requesting a Case Center Bundle you will need to provide the following:

  1. The names, party types, and email addresses of those requesting access.
  2. The name of the judge, if known. If you don't know which judge is hearing the case, please advise the Digital Exhibit Specialist in your request email.
Yes, one person may request access for multiple parties.
Because of the shortened schedule for 72-hour shelter care hearings, the court may allow extra time for exhibits to be uploaded during the hearing in real time.
